1. General:

  • These Terms & Conditions govern all travel arrangements made through Smith-Hairston Travel.
  • By booking a trip with Smith-Hairston Travel, you agree to be bound by these terms.
  • Smith-Hairston Travel reserves the right to modify these Terms & Conditions at any time without prior notice.
 

2. Booking & Payment:

  • A deposit is re.quired for all trips as specified in the trip description.
  • Full payment is due by the date specified in the trip description.
  • Late payments may result in trip cancellation and forfeiture of deposit.
  • Payment methods may include cash, check, or credit card.
 

3. Trip Cancellations:

  • Cancellations must be made in writing to Smith-Hairston Travel.
  • Cancellation fees may apply and vary depending on the trip and the time of cancellation.
  • For group trips, cancellation policies may be adjusted based on group size and agreements.
  • Smith-Hairston Travel reserves the right to cancel a trip due to insufficient enrollment or unforeseen circumstances. In such cases, a full refund will be issued.
 

4. Trip Changes:

  • Smith-Hairston Travel may make necessary changes to the itinerary due to unforeseen circumstances, such as weather, transportation issues, or availability of services.
  • Every effort will be made to inform travelers of any changes in advance.
 

5. Travel Insurance:

  • Travel insurance is highly recommended for all trips.
  • Smith-Hairston Travel offers travel insurance.
  • All travelers will be required to complete a waiver accepting or declining the travel insurance.
 

6. Responsibility:

  • Smith-Hairston Travel serves as an agent in arranging travel services and is not liable for the actions or omissions of third-party suppliers (e.g., airlines, hotels, transportation companies). However, we will collaborate with these suppliers to find a reasonable solution when issues arise.
  • Travelers are responsible for their own safety and well-being during the trip.
  • Smith-Hairston Travel is not responsible for any personal injuries, illnesses, or losses incurred during the trip.
 

7. Liability:

Smith-Hairston Travel shall not be liable for any damages, losses, or expenses arising from any cause beyond its control, including but not limited to acts of God, war, terrorism, strikes, political unrest, or natural disasters.
 

8. Disputes:

  • Any disputes arising from these Terms & Conditions or the provision of travel services shall be resolved through good faith negotiations.
  • If negotiations fail to resolve the dispute, the parties agree to submit the matter to binding arbitration.
 

9. Governing Law:

These Terms & Conditions shall be governed by and construed in accordance with the laws of the State of Virginia.
 

10. Waiver & Release:

By participating in any trip offered by Smith-Hairston Travel, travelers agree to release and hold harmless Smith-Hairston Travel, its employees, agents, and affiliates from any and all claims, demands, and causes of action arising out of or relating to the trip, including but not limited to personal injury, property damage, and loss of life.
 

11. Independent Contractor:

Smith-Hairston Travel acts as an independent contractor and is not an employee or agent of any third-party supplier.
